Department: Operations Location: Home based, UK Reports to: CEO Hours: 37.5 per week Salary: Depending on experience Role Overview We are seeking a driven and experienced Head of Operations to lead a team of 10 cross-functional administrators. You will play a pivotal role in ensuring the smooth and efficient operation of our admissions, EPA, functional skills, scheduling, and learner support functions. Key responsibilities Leadership & Team Management - Provide effective leadership and guidance to the administrative team, fostering a collaborative and high-performing work environment Process Optimisation - Continuously review and improve operational processes to enhance efficiency, accuracy, and compliance Admissions Management - Oversee the admissions process for all courses, including apprenticeships, bootcamps, and corporate training programs EPA & Functional Skills - Ensure seamless and timely administration of EPA (End Point Assessment) and functional skills workshops and assessments for apprentices Scheduling - Manage the scheduling of courses, exams, and assessments, ensuring optimal resource allocation and adherence to timetables Learner and client support - Oversee all aspects of learner support, including resolving queries, managing communication, and ensuring a positive learning experience. Data & Reporting - Generate reports and analyse data to identify trends and areas for improvement Budget Management - Contribute to budget planning and monitor operational expenditures in line with agreed budgets Compliance - Maintain compliance with all relevant regulations and quality standards Project Management - Manage and implement operational improvement projects to streamline processes Resource planning and capacity - develop resource plans to ensure the team is suitably resourced to meet business needs, cross training the team on key tasks to enable the team to flex to seasonal peaks Technology - Leverage technology effectively to automate tasks and optimise workflows, acting as the business owner for relevant systems (e.g. HubSpot) Candidate Specification: Essential Proven experience as an Head of Operations or similar leadership role Strong understanding of operational best practices and continuous improvement methodologies Excellent communication, interpersonal, and organisational skills Ability to lead and motivate a team Experience in resource planning and optimisation Comfortable working to internal and external deadlines and KPIs/SLAs Confident in using a range of systems and tools (e.g. Hubspot, Google Workplace) Desirable Experience in government funding training programmes (e.g. apprenticeships or bootcamps) or an equivalent regulated industry Passion for the training and education sector Company Benefits : Remote first company providing flexibility to work from home Pension with up to 5% matched contributions 25 days holiday + Flexi bank holidays + 1 day off on your birthday A day for volunteering Enhanced Maternity and Paternity Leave Health & Wellbeing allowance of up to £30 per month Annual Summer and Xmas events Company socials including everything from Cambridge College formals, pub nights to team building events CPD Allowance Private medical insurance and cash plan Holiday buy back scheme (up to 10 days p/a) EAP with 24 hour confidential support line Background to the Organisation We are an education technology company that enables corporate and government organisations to achieve their business goals by educating their workforce with critical digital transformation skills to succeed in the AI era.
